The personal information we collect may include:- Full name, Date of stay, Nationality of non-UK customers, Email, Phone number, Booking source, Room Type, Card details, CCTV Video footage - Audio is not captured.

 

4. HOW IS PERSONAL INFORMATION COLLECTED?

We will collect personal information from you when you provide it to us by phone, email, through our website, third party booking agents or in person at our premises.

 

5. HOW IS PERSONAL INFORMATION STORED?

Your Personal Information may be stored in the following ways:

 

a) At the Hotel: Hotel Strand Continental stores Personal Information in a secure location, be it a secure online cloud or filing cabinet. We take steps to ensure that only designated individuals have access to this information.  The information may include guest name, address, phone numbers, e-mail, service preferences and credit card number.

 

b) In our Channel Management System: In order to serve you better we also store your personal information in our Channel Management System (“CMS"), a platform located on a secure cloud with strong safeguards in place to protect customer privacy. All transactions exchanged between the front and the back end are secured via HTTPS HyperText Transfer Protocol Secure.The main motivation for HTTPS is the authentication of the access and protection of the privacy and the integrity of the data while in transit.

 

c) Email: When customers contact us directly through email, certain personal information may be collected through email correspondence. This may include full name, email, phone number and service preferences. It is important to note that any e-mail communication is not secure. This is a risk inherent in the use of e-mail. We recommend that you do not include any confidential information such as credit card information when using e-mail.

d) CCTV: For security reasons, cameras are placed in public areas and so may capture video footage of customers.

 

6. WHY PERSONAL INFORMATION IS COLLECTED AND THE LEGAL BASIS FOR DOING SO:

We process personal information for legitimate business purposes:

 

a) To establish and maintain a responsible commercial relationship with our customers and to provide ongoing service.

Your Personal Information is collected to assist us in making your reservation and providing the services you request, to ensure we meet your needs while you are staying with us and/or to allow us to contact you in relation to matters that arise from your stay with us. Our goal is to provide you with superior customer service.  By keeping certain stay related Personal Information on file, such as information regarding guest history, customers and the hotel have the ability to confirm prior transactions and reconcile invoices.

 

b) To understand customer needs and preferences.

Personal information needed to fulfil this is type of room preference and length of stay.

 

c) To meet legal and regulatory requirements.

To comply with the Immigration (Hotel Records) Order 1972, all customers who are not British, Irish or from the Commonwealth need to provide their full name, nationality and passport number or other ID document number.

 

7. IS PERSONAL INFORMATION SHARED?

We will not disclose personal information we hold to any third party except where required by law or as follows: -

  1. to third parties who provide services to us, and act as data processors for us;

  2. to HM Revenue & Customs, regulators and other authorities who require reporting of processing activities in certain circumstances.

  3. to public authorities where we are required by law to do so or if we suspect any unlawful activity is taking place.

 

8. TRANSFERRING YOUR PERSONAL INFORMATION OUTSIDE THE EEA

We do not intend to transfer any personal data we hold about you to a country outside the European Economic Area.

 

9. HOW LONG IS MY PERSONAL INFORMATION RETAINED?

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

With this in mind, we keep the following personal information for the time-periods of:

 

Six months: Full name, nationality of non-UK customers, passport number or other document establishing identity and nationality of non-UK customers, email, phone number, date of stay, room Type

 

Four months: card number, card receipts, source of booking.

 

Two months: CCTV recordings.

 

10. YOUR RIGHT TO ACCESS YOUR PERSONAL INFORMATION AND YOUR OTHER RIGHTS

Under certain circumstances, you have rights under data protection laws in relation to your personal data as follows:

 

  • to request access to your personal data. This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it;

  • to request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected;

It is necessary for us to collect certain personal information in order to correspond with customers regarding their restaurant booking, contact the customer if changes need to be made to a booking, answer queries and process deposit payments for booking reservations. Personal information needed for this includes full name, email address, telephone number and credit card details.
